Getting started

What is DockBeacon?

DockBeacon helps small commercial cleaning teams run a daily van check before vans leave. It shows which vans can leave, which are blocked, and what needs follow-up.

Who is DockBeacon for?

DockBeacon is for commercial cleaning owners, supervisors, office admins, and crew leads who need a simple van check before crews leave.

Who is DockBeacon not for?

DockBeacon is not route tracking, payroll, CRM, invoicing, or full fleet management. It is for daily van checks, Morning Dispatch, blockers, proof photos, and operations reports.

Can I start with one van?

Yes. Start with one van, set up the checklist, and run a van check before inviting the full team.

Do I need a sales call?

No. You can create your company account, add a van, and try the van check yourself.

Billing and trial

How does the 7-day trial work?

New workspaces start on a Starter trial automatically when the workspace is created. No credit card or plan choice is needed to start. During the 7-day trial, you can set up vans, run checks, and see whether DockBeacon fits your morning routine.

What happens after the trial?

After the trial, your company account needs an active subscription to keep using daily dispatch features. Owners can manage the plan in billing.

What are Starter and Growth?

Starter is for smaller teams starting with up to 3 vans and 5 users. Growth is for teams that need up to 10 vans and 20 active or pending users.

How much proof storage is included?

Starter includes 1 GB of active proof storage. Growth includes 3 GB. Active proof storage means proof files that have not been deleted by your workspace retention setting.

Does DockBeacon store card details, and who can manage billing?

Stripe handles payment details when an owner chooses a paid plan. DockBeacon does not store card details. Only owners can manage billing.

Signup and security

Why do I need to verify my email and pass the security check?

Email verification protects company account access. The signup security check helps block automated abuse before a company account is created.

Can I use Google sign-in?

Yes. Google sign-in can be used for signup or login when it is available on the form.

What if my verification email does not arrive?

Check spam or junk first. If it still does not arrive, contact support and include the email address you used. Unverified users cannot use company account pages yet.

Vans and checklists

Can I customize the van checklist?

Yes. Owners and admins can edit item names, add instructions, choose what is required, and decide what stops the van if it fails.

Can I edit checklist item names and reorder items?

Yes. Use Settings to edit labels, instructions, and order. Keep the checklist short enough for crews to finish before leaving.

What do Required and Stops van if failed mean?

Required means the crew must answer before submitting. Stops van if failed means a failed item can mark the van as Blocked until reviewed or fixed.

Can crews use Spanish or French?

Yes. Crew checks can be used in English, Spanish, or French. Owners and admins can add Spanish and French checklist wording in Settings.

Can I require proof photos?

Yes. Use Settings to choose when proof photos are required. You can require them for critical failures or for all failed checklist items.

Morning Dispatch

What is Morning Dispatch?

Morning Dispatch is the view owners and supervisors use to see today's van status: Can leave, Follow-up, Blocked, and To check.

What do Can leave and Blocked mean?

Can leave means the daily van check did not find a blocker. Blocked means something important failed and the van should not leave until fixed or reviewed.

What do To check and Follow-up mean?

To check means no daily van check has been submitted for that van today. Follow-up means the van can leave, but a non-blocking issue still needs action.

Blockers and recurring issues

What is a dispatch blocker, and who handles it?

A dispatch blocker is a failed item that can stop a van from leaving. Owners or supervisors assign the person responsible, review it, and decide when the van is no longer Blocked from leaving.

What are Recurring issue patterns?

Recurring issue patterns show repeated problems, like the same missing gear or low supply coming back. Use them to adjust the checklist, restock routine, or crew handoff.

Proof photos and reports

What are Proof photos, and who can see them?

Proof photos are images attached to failed checks, blockers, or reports when your company account requires them. They stay inside your company account and are visible only to authorized team members.

What is the Sample dispatch report?

The Sample dispatch report shows what a blocked-van record can look like after a check, follow-up, proof photo placeholder, and resolution note.

What is the Daily dispatch summary?

The Daily dispatch summary is an operations summary for company account review. It is not legal, safety, insurance, regulatory, or compliance documentation.

Crew rollout

How do I explain DockBeacon to my crew?

Keep it simple: DockBeacon is a short van check before leaving. It helps the crew flag missing gear, low supplies, and blockers while there is still time to fix them.

Is DockBeacon GPS tracking?

No. DockBeacon does not track routes, locations, drivers, or GPS. It only helps check whether the van is ready before crews leave.

Is DockBeacon employee monitoring?

No. DockBeacon is for van checks and owner/supervisor review. It is not for tracking where people go or measuring how fast they work.

Privacy and security

Does DockBeacon access Gmail, Drive, Calendar, or contacts?

No. Google sign-in only helps confirm your identity. DockBeacon does not access Gmail, Drive, Calendar, contacts, or other Google content, and does not sell user data.

What happens if I delete my company account?

Deleting your company account permanently removes its data. Everyone in that company account loses access.

Troubleshooting

Why can't I access a page, or why do I see billing setup?

You may need to log in, verify your email, have the right role, or finish billing setup. Owners can review billing and company account access.

Why did signup fail with Verification failed, or why can't I upload a Proof photo?

For signup, retry the security check and submit again. For proof photos, use a supported image file, stay signed in, and contact support if it still fails.
